Add and Manage Client Books

Last updated: 2026-09-12 Summary:

  • Create a new client book directly under the firm, and choose there and then whether your firm pays for it or the client does.
  • An existing eKapital company can move into your firm, with the current owner’s consent, inside a 72-hour window.
  • Switch between client books from the company switcher; no signing out.

Adding a client book, migrating one in, releasing one, and changing who pays for it are billing actions: the firm Owner can do them, and an Admin can do them only once the Owner has granted that Admin billing access. Managers and Members cannot. Assigning staff to a book is separate — see Assign staff to client books.

When you take on a client who’s new to eKapital:

  1. From your firm, choose to add a client book.
  2. Enter the company’s name and its country/currency — see Set up your company for what those choices drive.
  3. Say who pays for it. If your firm pays, pick the book’s plan — it is asked, never assumed, because the plan is what your firm is billed for. If the client pays us directly, the book starts on the ordinary 30-day trial and the client subscribes in their own name.
  4. If the book is the client’s own rather than your firm’s, name the client’s owner by email. That email must already belong to an eKapital account — an address we don’t recognise is rejected rather than turned into a new account, so have the client sign up first, or leave the book owned by your firm and hand it over later.
  5. The new book opens under your firm right away.

There is no cap on how many client books your firm can hold, and no tier to upgrade to before adding the next one. What grows with your practice is your discount band — see Firm billing and Pricing.

When a new client already keeps their books on eKapital, you don’t recreate them — you migrate the existing company in:

  1. Start a migration for that client from your firm and enter the company’s details.
  2. The company’s current Owner receives a request and approves it from their side. Only that Owner can accept it, and the request is good for 72 hours.
  3. Once they accept, the company re-parents into your firm with its history intact.

This keeps the client’s existing ledger, filings, and documents — nothing is rekeyed.

Migrating a company in moves it under your firm; it does not change who pays for it. The client keeps their own subscription unless they separately agree to your firm taking that book’s billing over — see Firm billing.

From any screen, open the company switcher to move between client books:

  • A short list of your books appears directly; with many books, a search box helps you jump straight to one.
  • Your recent and favorite books surface first, so the clients you touch daily are one click away.
  • Recreating a client who’s already on eKapital. Migrate them in instead — recreating loses their history and leaves a duplicate company behind.
  • A lapsed migration request. After 72 hours the client’s approval link stops working. Have the owner accept while it’s live; if it lapses, ask us rather than assuming a second request will go through cleanly.
  • Naming a client owner who has no account yet. The email has to resolve to an existing eKapital account — see step 4.
  • Adding a firm-billed book without choosing its plan. The plan is required when your firm pays, and there is no default — it is what your firm gets billed for. See Firm billing.
