Read the Trial Balance
Last updated: 2026-07-10 Summary:
- The Trial Balance lists every account’s balance as of a date in a Debit or Credit column, ending in a totals row that must balance.
- It’s your tie-out point: the P&L, Balance Sheet, and the AR/AP subledgers all reconcile back to it because they read the same posted entries.
- Filter by as-of date, and export to CSV, Excel, or PDF.
Open the report
Section titled “Open the report”Open it from Reports → Report Hub → Trial Balance, or go straight to /gl/trial-balance. It needs general-ledger read access (gl:read) — the same permission that lets you view the chart of accounts. The report loads as of today by default.
What the report shows
Section titled “What the report shows”Each account with a balance appears once, with its debit or credit total:
| Column | Meaning |
|---|---|
| Account Number | The account’s number from your chart of accounts |
| Account Name | The account’s name |
| Type | Its classification (Asset, Liability, Equity, Revenue, Expense) |
| Debit Balance | The balance if the account is net-debit |
| Credit Balance | The balance if the account is net-credit |
The Totals row sums each column, and a banner confirms the two totals match. Balances come only from posted journal entries — drafts never appear.
Run it for a date
Section titled “Run it for a date”Pick an As of Date and the balances recompute for that point in time. Entries dated after the as-of date drop out, so a back-dated snapshot stays historically accurate — useful when you’re reconciling a closed month.
Export
Section titled “Export”Use Export to download the Trial Balance as CSV, Excel, or PDF. The export uses whatever as-of date is on screen, so pick the date first — exporting with no date chosen does nothing.
Use it to tie out
Section titled “Use it to tie out”The Trial Balance is the anchor every other statement reconciles against:
- Total debits equal total credits. Every posted entry balances, so the two columns always match. If the check ever flags out-of-balance, that’s a signal to investigate a data problem, not a display quirk.
- The P&L and Balance Sheet derive from the same posted entries, so they tie back to the Trial Balance to the centavo.
- The AR and AP control accounts equal the aging totals — cross-check against the AR Aging and AP Aging reports.
A mismatch means an unposted or mis-mapped entry worth finding — everything renders from the same ledger.
Where people get tripped up
Section titled “Where people get tripped up”- A balance looks wrong or an account is missing. The report reflects posted entries only. A draft journal entry won’t show until it’s posted, and changing the as-of date reshuffles the balances by design.
- There’s no way to hide zero-balance accounts or filter to one account. The report lists every account with a balance as of the date — there’s no per-account filter or zero-balance toggle. Export to CSV and slice it in a spreadsheet if you need a narrower view.
- Export produced nothing. Choose an As of Date first; the export button no-ops until a date is set.
