Fixed Asset Reports
Last updated: 2026-07-09 Summary:
- Three reports cover the fixed-asset lifecycle: a point-in-time Asset Register, a per-period Depreciation Schedule, and a roll-forward BIR Lapsing Schedule.
- Each report has its own filters and groups by category with subtotals and a grand total.
- Reports export to CSV, and the Lapsing Schedule also exports to Excel (XLSX) and PDF.
Fixed Assets is available on plans that include Fixed Assets. Viewing reports needs the fixed-asset read permission.
Asset Register
Section titled “Asset Register”An as-of snapshot of every asset, grouped by category. Reachable from Fixed Assets → Register Report.
- Columns: Asset Number, Name, Description, Acquisition Date, Acquisition Cost, Accumulated Depreciation, Net Book Value, Serial Number, Location, Classification, Status.
- Subtotals per category (cost, accumulated depreciation, net book value) plus a grand total.
- Filters: as-of date, category, and status (Active, Fully Depreciated, Disposed).
This is the audit-ready register — the BIR Fixed Asset Register — for a given date.
Depreciation Schedule
Section titled “Depreciation Schedule”The per-asset, per-period history of posted depreciation. Reachable from Fixed Assets → Depreciation Schedule.
- Columns: Period (YYYY-MM), sequence number, Depreciation Amount, Accumulated After, Net Book Value After, and the linked journal entry.
- Filters: asset, and a period range (from / to months).
- Total: row count and total depreciation across the range.
Use it to trace exactly which journal entry booked which period’s depreciation for an asset.
BIR Lapsing Schedule
Section titled “BIR Lapsing Schedule”A roll-forward (movement) schedule over a date range, grouped by category. It is the format BIR examiners expect for reconciling fixed assets across a period.
- Cost block: Beginning + Additions − Disposals = Ending.
- Accumulated depreciation block: Beginning + period depreciation − depreciation on disposals = Ending.
- Net book value at the beginning and ending boundaries.
- Non-deductible depreciation — the tax-disallowed memo under each asset’s depreciation cap (0 when uncapped). Toggle the BIR view to surface this column. It is a memo only and does not change the book roll-forward. See Depreciation caps and the lapsing schedule.
- Filters: date range (from / to) and category.
The figures are derived from the depreciation history and disposal dates, so disposed assets are correctly rolled off rather than double-counted.
Export formats
Section titled “Export formats”The reports can be exported to CSV, PDF, and Excel (XLSX). In the app today, the Asset Register and Depreciation Schedule expose an Export CSV action, while the Lapsing Schedule exposes Export CSV, Export Excel, and Export PDF.
