Approve Bills From Your Phone

Last updated: 2026-07-09 Summary:

  • eKapital works in your phone’s browser — there’s no separate app to install. Sign in and open the approval inbox.
  • Only people with the approve bills permission see it — separate from the permission to create bills, so the person who enters a bill isn’t the one who approves it.
  • Approving a bill moves it from Draft to Approved, ready to be paid on the desktop app.
  1. In your phone’s browser, sign in to eKapital and go to /m/approve/bills.
  2. Prefer to hand off from your computer? On the desktop Bills list, use Open on your phone — it shows a QR code you scan with your phone camera to land in the mobile view already signed in.

If you see “You do not have permission to approve bills,” your role doesn’t include bill approval. This is deliberate: approving bills is a separate permission from creating them (a segregation of duties), so ask an Owner or Admin to grant it — see Create custom roles and review the audit log.

  1. The Pending Approvals inbox lists every bill still in Draft. Each card shows the vendor, total amount, bill number, and bill date. If it’s empty, you’ll see “All bills have been reviewed.”
  2. Tap a card to open the read-only bill detail — vendor, TIN (or “TIN: Not on file”), total, bill number, due date, the first line’s description, and any notes.
  3. Tap Approve. On success you get a Bill approved confirmation, the bill drops off the inbox, and you’re back at the list.

The bill moves from Draft → Approved. From there it’s eligible for a vendor payment run on the desktop app — see Pay a vendor and issue the 2307.

  • The inbox is empty. Only bills in Draft appear here, and draft bills are created on the desktop app — see Add a vendor and record a bill. If there’s nothing to approve, there are no drafts.
  • Rejecting isn’t available on mobile yet. The mobile flow is approve-only for now. To hold or reject a bill, use the desktop app.
  • Approval needs a connection. There’s no offline queue — if you’re on a dead signal, the inbox shows a “No connection” banner and you’ll need to reconnect before approving.
  • Someone already approved it. If two people open the same bill, the second approval is refused (the bill is no longer in Draft). Refresh the inbox to see the current list.
