Manage Your Subscription and Plan

Last updated: 2026-07-09 Summary:

  • Everything about your plan lives in one place: Administration → Billing & Subscription.
  • Only the Owner sees billing — the person who pays for the company manages the plan.
  • Upgrading is self-serve: pick a plan, pay by card or e-wallet, and the new features unlock automatically. Enterprise is the one exception (you talk to sales).
  1. In the left sidebar, go to Administration → Billing & Subscription (/settings/billing).
  2. If you don’t see it, you’re not the Owner. Billing is Owner-only — ask whoever owns the company to make the change, or see Invite and manage users for who holds which role.

The overview page shows, top to bottom:

  • Current plan & renewal — your plan name, its price, a status badge (Active, Trialing, Past due, Suspended, or Cancelled), your next billing date, and the next charge.
  • Payment method — the card on file (brand, last four, expiry) with an Update payment method button.
  • Recent billing history — your five most recent payments, with View all to see the rest.
  • Billing profile — the registered name, TIN, business address, and VAT treatment that appear on your billing invoices.
  • Usage this month — any metered usage on your plan.
  1. On the overview page, click Upgrade plan.
  2. The Choose the right plan page lists every plan. Toggle Monthly / Annual to compare billing cycles (annual is cheaper per month), and use Compare plans to see the full feature matrix.
  3. Click Choose plan on the one you want. eKapital opens a secure hosted checkout — pay by card, GCash, GrabPay, or Maya.
  4. After payment you land back on eKapital. It confirms Payment received, waits a few seconds for the plan to switch over, then shows Subscription updated. The newly unlocked features appear in your sidebar right away.

For current plans and prices, see Pricing. Enterprise has no self-serve price — its next charge reads “Contact us”; reach out to sales to set it up.

On the overview page, click Update payment method in the Payment method card. This re-runs the secure checkout for your current plan so you can enter a new card. Your plan and renewal date don’t change.

  1. Click View all in Recent billing history (or go to /settings/billing/history).
  2. The Payment history table lists each payment — paid date, amount, method, status, and invoice. Filter by All, Paid, or Failed.
  3. Click Download invoice on any paid row to get the BIR-compliant PDF for that charge.

On the overview page, click Cancel subscription (it only appears on a paid plan you pay for yourself) and confirm. Cancellation takes effect at the end of the current billing period — your plan stays Active until then, so you keep your features for the time you’ve already paid for.

  • “I don’t see the billing menu.” Only the Owner does. Admins and Accountants can run the books but can’t change the plan.
  • “My company is billed by my accounting firm.” If a firm manages your subscription, the Upgrade, Update payment method, and Cancel actions are hidden and you’ll see a “managed by your firm” note instead. Your firm changes the plan for you — see Firm billing.
  • “A feature is greyed out or says Upgrade required.” That feature isn’t in your current plan. See Plans, add-ons & feature entitlements for how gating works and how to unlock it.
  • Looking for a separate “billing portal.” There isn’t one — everything is on this page. The upgrade and update-card flows use a secure hosted checkout and bring you straight back here.
