Track Payouts and Settle to Your Bank

Last updated: 2026-07-09 Summary:

  • Online receipts land in a clearing account first (your configured deposit account, else Undeposited Funds) until PayMongo pays out.
  • The Payouts page pulls PayMongo payouts, trues up the processing fees that weren’t known at payment time, and shows which invoices each payout covers.
  • When a payout reaches your bank, record the settlement so cash moves from clearing to your bank account.

Reconciling a payment posts the cash to a clearing account, not your bank — because PayMongo batches many payments into one payout days later. The Payouts page closes that gap. You need payments:read to view and payments:manage-methods to sync or settle.

  1. Go to Payments → Payouts.
  2. Click Sync payouts to pull the latest payouts from PayMongo. Each row shows the payout date, status (Pending, In Transit, Paid, Failed), gross, fee, net, payment count, and settlement state.
  3. Expand a row to see the covered payments — the individual invoices and customers in that payout.

At payment time PayMongo doesn’t always report the fee, so the payment reconciles with the fee marked Pending. Click Sync fees to fetch the final fees and post them. Each covered payment then shows a fee status of Captured, Pending, or Not Applicable. Any rows that couldn’t be trued up are reported and stay Pending for the next run.

When a payout has status Paid and settlement Unsettled, a Record bank settlement button appears.

  1. Click Record bank settlement.
  2. Pick the bank account the money arrived in and the posting date.
  3. Confirm. eKapital posts a journal entry moving the net amount out of the clearing account into your bank account, and marks the payout Settled.

An in-flight tile at the top sums the net of unsettled payouts on the page so you can see how much cash is still on its way.

  • Cash sitting in clearing forever. Reconciled online receipts land in your configured deposit account, or Undeposited Funds if none is set. That balance clears only when you record settlements — don’t skip the last step.
  • Fees look wrong right after payment. A Pending fee just means PayMongo hadn’t reported it yet. Run Sync fees.
  • Settling into a closed period. Choosing a posting date in a closed period is rejected. Pick a date in an open period or reopen it — see Close an accounting period.
