Void an Invoice

Last updated: 2026-07-09 Summary:

  • Void an invoice from its detail page once it is Sent or Overdue; voiding posts a reversing journal entry and cannot be undone.
  • eKapital warns you first if non-voided debit memos still reference the invoice.
  • A voided invoice is no longer shareable — its pay link and any Form 2307 reminder disappear.

Open the invoice and use Void Invoice in the action bar. It appears once the invoice is Sent (including Partial) or Overdue — a posted invoice that shouldn’t stand. Voiding requires the ar:void permission, so it can be granted separately from creating invoices.

You cannot void a Draft (delete it instead) and voiding is a one-way action.

Before you confirm, eKapital checks for non-voided debit memos that reference this invoice. If any exist, it warns you — this is a heads-up, not a hard block. Voiding the invoice does not void its corrections, so review those debit memos first. See Correct an invoice with a debit memo.

Confirming the void posts a reversing journal entry that unwinds the invoice’s original revenue, receivable, and output-VAT postings, so your books no longer carry the sale. After the void:

  • The invoice moves to Void and drops out of the AR aging report.
  • Its public pay link stops working and no longer appears.
  • Any EWT / Form 2307 reminder is removed — a voided invoice generates no 2307 and cannot be paid.

If the invoice was transmitted to BIR EIS (accepted), the void dialog tells you that voiding will trigger a correction submission to BIR. If EIS integration is currently inactive, it warns that the correction will not be sent automatically — you’ll need to handle the BIR side yourself.

  • No Void button. It only shows for Sent/Overdue invoices, and only if you hold ar:void. Drafts are deleted, not voided.
  • Expecting the corrections to vanish too. Debit memos referencing the invoice stay live — deal with them separately.
  • Voiding to “fix” a small error. If the customer simply owes less or more, a credit memo or debit memo is usually cleaner than voiding and re-issuing.
