Bring Timesheet Hours into a Pay Run

Last updated: 2026-07-09 Summary:

  • Pull from timesheets fills a pay run’s blank hours cells from the approved weekly time you already captured.
  • It only fills blank (zero) cells and never overwrites hours you typed by hand.
  • Unapproved (pending) time is excluded and flagged; pulling is a one-time snapshot that does not auto-refresh.

This bridges the Weekly Payroll Hours grid into a regular pay run so you don’t re-key hours.

  1. Start a regular pay run under Payroll → Pay Runs → Create Pay Run and pick the period. (13th-month runs don’t use timesheets.)
  2. At the Edit Hours/Rates step, click Pull from timesheets.
  3. eKapital fills the Hours Regular cell for each employee whose cell is still blank: Hourly rows get the total approved hours; Daily rows get the days worked; Salary rows are skipped. A clock badge marks each pulled cell.
  4. Review, adjust anything by hand, then Calculate and continue.
  • Blank cells only. A cell you already typed a value into is never overwritten — the pull respects your manual edits.
  • Approved time only. Pending or unapproved time is left out. When that happens, a warning appears: for example, “3 employees have 14.00 h of unapproved time excluded from the pull.” Approve that time in Time Tracking → Weekly Payroll Hours (Complete Week), then pull again to include it.
  • Snapshot, not a live link. The pull copies the numbers once. If you later complete or re-open a week, the pay run does not update itself — pull again to bring the new figures in. If approved hours change after a pull, a Drift tag shows the new approved value so you can decide whether to re-pull.
  • “No blank hours to fill from timesheets.” The cells already hold values, so there was nothing to fill. Clear a cell to zero if you want the pull to populate it.
  • Someone’s hours didn’t come through. Their time is still Pending. Complete their week first, then pull again.
  • The numbers changed after I pulled. That’s expected — the run holds a snapshot. Re-pull to refresh, or edit the cell directly.
