Read the AP Aging Report
Last updated: 2026-07-10 Summary:
- The AP Aging Report buckets every unpaid vendor bill by how far past due it is: Current, 1-30, 31-60, 61-90, and 90+ days.
- Balances are grouped per vendor, with summary cards and a Total Outstanding across all buckets.
- Filter by as-of date and vendor, then click Run Report to apply — this report does not refresh automatically.
Open the report
Section titled “Open the report”Go to Accounts Payable → AP Aging Report (/ap/aging), or open it from Reports → Report Hub → AP Aging. It needs accounts-payable read access (ap:read) — the same permission that lets you open Bills and Vendors. It loads as of today by default.
What the buckets mean
Section titled “What the buckets mean”Each open balance falls into a bucket by its due date relative to the as-of date:
| Bucket | Meaning |
|---|---|
| Current | Not yet due (due on or after the as-of date) |
| 1-30 Days | 1–30 days past due |
| 31-60 Days | 31–60 days past due |
| 61-90 Days | 61–90 days past due |
| 90+ Days | More than 90 days past due |
| Total | The vendor’s whole outstanding balance |
Only bills with a balance still owing appear — Draft and Void bills are excluded, and fully paid bills drop off. Any migrated opening payables carried in at cutover are included; balances that migrated in without a matched vendor are grouped under an “(Unresolved migrated)” row so the totals still tie out.
Filters
Section titled “Filters”- As of Date — run the report for a point in time. Balances and buckets recompute for that date, and bills dated after it are excluded, so back-dated snapshots stay accurate.
- Vendor — narrow to one vendor. Use Clear filters to return to all vendors.
- Run Report — apply the filters. Unlike the AR Aging report, changing the date or vendor here does not refresh the table on its own; click Run Report to see the updated numbers.
The summary cards at the top total each bucket across all listed vendors, ending in Total Outstanding.
Using it to plan payments
Section titled “Using it to plan payments”- Work the 90+ and 61-90 columns first — the oldest bills are the ones straining supplier relationships and, for withholding, the ones whose returns are overdue.
- Sort by each vendor’s Total to see your largest exposures.
- The AP control account on the ledger equals this report’s Total Outstanding — if they diverge, look for an unposted bill or payment. See Run a Profit & Loss Report for the full tie-out.
- After you pay a vendor, the bill leaves the aging buckets.
Where people get tripped up
Section titled “Where people get tripped up”- Nothing changes when I change the date or vendor. The AP Aging report doesn’t auto-refresh — click Run Report after adjusting a filter. (The AR Aging report does refresh on its own, so the two behave differently.)
- There’s no export button. The AP Aging report is read-on-screen only; there’s no CSV/Excel/PDF export yet. To hand figures to your accountant, use the Trial Balance export and reconcile against this total.
- A bill you expected is missing. It’s probably still a Draft, already fully paid, or Void. Only open, owed balances age.
- An “(Unresolved migrated)” row. Those are opening payables brought in at migration that aren’t yet tied to a vendor record — not an error. Match them to a vendor to clear the row.
