Enter and Approve Weekly Timesheets

Last updated: 2026-07-09 Summary:

  • The Weekly Payroll Hours grid captures per-day hours for Hourly and Daily employees, one week at a time.
  • Saving is a maker act (needs the Time write permission); completing and re-opening a week are checker acts (needs the Time approve permission).
  • A week is locked for editing only while it is Completed — re-open it to make corrections.

Find the grid under Time Tracking → Weekly Payroll Hours.

  1. Use the week navigator to move to the week you want (Prev / Next / Today). The URL carries a ?week= date, so any week is bookmarkable and shareable.
  2. Type each employee’s hours into the per-day cells. Hourly and Daily rows are editable; Salary rows are shown for context only — they are not editable and are excluded from the column and grand totals, because salaried pay is a fixed period amount, not hours worked.
  3. Narrow the roster with the Search employees box or the Pay type filter (Hourly / Daily / Salary). Clear filters resets both.

Click Save Draft to persist your edits without approving them. Saving requires the Time write permission. The week’s status pill moves to DRAFT, and only the cells you changed are sent — untouched cells are left alone.

Click Complete Week to approve every pending entry in the week in one action (this requires the Time approve permission). The status pill moves to COMPLETED and the grid locks.

  • Complete Week is disabled while you have unsaved edits. Save the draft first, or use Save & Complete in the confirmation dialog, which saves then approves in one step.
  • The confirmation dialog also flags employees whose hours are still zero, so you can catch a blank row before you approve it.

If a completed week needs a correction, click Re-open (visible only when the week is Completed and you hold the Time approve permission). This reverts the week’s approved entries back to pending, the status pill shows RE-OPENED, and the grid becomes editable again. Fix the hours and complete the week a second time.

  • Complete Week is greyed out. You have unsaved hours. Save the draft first, or use Save & Complete in the dialog.
  • A Salary employee has no cells to type in. That is by design — salaried pay isn’t an hours input, so those rows are read-only and left out of the totals.
  • A completed week won’t flow into a pay run you already built. Pulling hours into a pay run is a one-time snapshot; re-opening (or completing) a week never auto-updates a run. Re-open, correct, complete, then pull again. See Bring timesheet hours into a pay run.
  • Maker and checker are separate. Someone who can log hours (Time write) but not approve (Time approve) can Save Draft but cannot Complete or Re-open the week.
