Read the AR Aging Report
Last updated: 2026-07-09 Summary:
- The AR Aging Report buckets every outstanding balance by how far past due it is: Current, 1-30, 31-60, 61-90, and 90+ days.
- Balances are grouped per customer, with summary cards and a Total Outstanding across all buckets.
- Filter by as-of date and customer; unapplied credit memos reduce a customer’s balance.
Open the report
Section titled “Open the report”Go to Accounts Receivable → AR Aging Report (/ar/aging). It loads as of today by default.
What the buckets mean
Section titled “What the buckets mean”Each open balance falls into a bucket by its due date relative to the as-of date:
| Bucket | Meaning |
|---|---|
| Current | Not yet due (due on or after the as-of date) |
| 1-30 Days | 1–30 days past due |
| 31-60 Days | 31–60 days past due |
| 61-90 Days | 61–90 days past due |
| 90+ Days | More than 90 days past due |
| Total | The customer’s whole outstanding balance |
Only invoices that are Sent, Partial, or Overdue with a balance still owing appear. Drafts, paid, voided, and written-off invoices are excluded. Unapplied credit memos show as a negative Current amount so a customer’s balance reflects credits they haven’t used yet, and any migrated opening receivables carried in at cutover are included.
Filters
Section titled “Filters”- As of Date — run the report for a point in time. Balances and buckets recompute for that date, and invoices dated after it are excluded, so back-dated snapshots stay historically accurate.
- Customer — narrow to one customer. Use Clear filters to return to all customers.
The summary cards at the top total each bucket across all listed customers, ending in Total Outstanding.
Using it for collections
Section titled “Using it for collections”- Work the 90+ and 61-90 columns first — the oldest balances are the ones most at risk.
- Sort your outreach by the per-customer Total to prioritize the largest exposures.
- After a customer pays, record the payment so the balance leaves the aging buckets; applying a credit memo has the same effect.
Where people get tripped up
Section titled “Where people get tripped up”- An invoice you expected is missing. It’s probably a Draft (not yet sent), fully Paid, or dated after the as-of date. Only open, sent balances age.
- Buckets look off after back-dating. The report ages by due date against the as-of date — changing the as-of date reshuffles the columns by design.
- A negative Current figure. That’s an unapplied credit memo reducing the customer’s balance, not an error.
