Submit and Reconcile Invoices to EIS

Last updated: 2026-07-09 Summary:

  • Submit posted sales documents to the BIR EIS one at a time from the invoice, or in bulk from the submissions workspace.
  • Each submission carries a status you can monitor, and failed submissions can be retried.
  • The reconciliation view proves your ledger and EIS agree; the backfill wizard sends documents you issued before turning EIS on.
  • EIS must be configured and active in Tax Settings → EIS e-Invoice Configuration (connection saved, a successful test connection, and the Active toggle on). See e-Invoicing and the BIR EIS.
  • Only posted documents can be submitted — drafts are not eligible.
  • These screens are available to Philippine tenants and to users with EIS permissions.
  1. Open the invoice (or credit/debit memo) detail page.
  2. Find the EIS e-Invoice card. It shows the current status — Not Submitted, Pending, Submitted, Accepted, or Rejected.
  3. Optional but recommended: click Preview e-Invoice to inspect the exact data that will be sent.
  4. Click Submit to EIS. The status moves to Pending while the BIR processes it, then settles to Accepted (with a BIR receipt number) or Rejected.
  5. If a document is Rejected, fix the underlying data and click Retry.

Submit and monitor from the submissions workspace

Section titled “Submit and monitor from the submissions workspace”
  1. Go to Tax → EIS Submissions (/tax/ph/eis-submissions).
  2. Each row is a submission batch with its Submit ID, date, invoice count, and status (Pending, Submitted, Processing, Completed, Failed, or Partial Success).
  3. Expand a row to see its line-level results — the EIS unique ID, document type, result code and message, and the EIS receipt number per document.
  4. Filter by status or date range to find what you need; Clear filters resets the view.
  5. For a Failed submission, click Retry on the row.
  1. Go to Tax → EIS Reconciliation (/tax/ph/eis-reconciliation).
  2. The table compares, per period and document type, your local count and amount against what EIS shows as Submitted, Accepted, Rejected, and Not Submitted, with a Discrepancy column.
  3. Filter by period range or document type (sales invoice, official receipt, credit/debit memo, and supplementary documents).
  4. Investigate any non-zero discrepancy or Not Submitted count — those are documents EIS is missing. Export CSV for your working papers.
  1. From the submissions workspace, click Backfill Historical Invoices, or go to /tax/ph/eis-backfill.
  2. Selection — choose an invoice date range (and optionally a document type), then Preview Eligible Invoices.
  3. Preview — review how many are eligible versus already submitted (skipped). Confirm the submission when prompted.
  4. Results — the wizard reports how many were submitted, failed, and skipped. Return to the submissions workspace to see them land.
  • Submitting a draft. Only posted documents are eligible — post first, then submit.
  • EIS configured but not active. Saving credentials is not enough; you also need a recent successful test connection and the Active toggle on before the Submit button appears.
  • Treating a discrepancy as harmless. A non-zero discrepancy or a Not Submitted count means EIS does not have a document your books do — chase it down rather than ignoring it.
  • Rejected vs Failed. A Rejected document usually has a data problem to fix before retrying; a Failed submission batch can often simply be retried.
